Use Automatic Lead Capturing

If you’re entering peoples’ emails in manually, you’re doing it the hard way. Make extensive use of email signup forms and QR codes to get people to sign themselves up to your email mailing list. Lead capture is the first step in the automation process and, if you don’t do this right, you’ll be micromanaging your leads from here on out. Systems like Aweber, GetResponse, and ConstantContact (even advanced systems like InfusionSoft) have already figured out the lead capture problem, so use them.

Use An Autoresponder

Another reason to use companies like Aweber, GetResponse, and InfusionSoft is that they also come equipped with an autoresponder. Autoresponders are computer programs that automatically send out emails to prospects. You preload an email message and then it sends out that message on a predetermined date and time that you choose.

So, for example, if you want to send out a weekly email that contains the most recent listings, you can set up an autoresponder to do this for you. You can either set up an RSS feed so that everything happens automatically, or you can preload information manually and then send out a bulk email blast to all of your contacts with one click.

Use A Contact Management System

Contact management systems have evolved over the years and have gotten quite good at managing contact information and follow up details. Most real estate contact management software programs allow you to create detailed contact cards, create a custom sales process, access client information spontaneously, create follow-up emails, create reminders in a calendar, and follow up with you about upcoming appointments.

Use Rapportive Or Vibe

There are two programs out there right now that will change the way you conduct market research and get to know your prospects and clients. The first is Rapportive. It’s an email plugin for Gmail. If you use Gmail, you know that, inside your Gmail account, you’re inundated with small ads on the side, middle, and other places. Rapportive replaces those ads with contact information. When you bring up a contact’s email address, it gathers information from around the web and displays it in your web browser.

Suddenly, you get to know who’s really behind the email. You know what social networks they hang out on, what types of interests they have, and where to find them online so you can connect with them.

Vibe is a similar app, but specifically designed for the Mac. If you’re a Mac users, you love the Mac feel of apps that are designed for the platform. This app allows you to get similar information about email contacts without having to use Gmail.
